On Location Shoot Guidelines

This quick guide walks you through everything you’ll need to make the shoot smooth and productive.

Before The Shoot

Step 1: Location & Permissions

On-location shoots require early planning to secure the right space and avoid disruptions. Please ensure:

  • Permission to shoot (venue approval, permit if a public space)
  • Time restrictions or noise limits are checked
  • Electricity access or generator requirements are confirmed
  • Backup location is planned in case of bad weather (e.g. rain, extreme heat)
  • Parking is arranged for crew and talent
  • The timing of the shoot and sun angle are considered. (We strongly recommend scheduling in the morning or late afternoon to avoid harsh midday light.)
  • Loading and access points are shared in advance

Step 2: Call Sheet

A detailed call sheet is especially important for on-location shoots.

It should include:

  • Address and access instructions
  • Transport and parking info
  • Arrival times for each person
  • Contact list for all involved
  • Day schedule or run sheet

Step 3: Amenities & Comfort

Please ensure the following are considered and arranged:

  • Toilet access (especially for full-day shoots)
  • Changing area or tent for models
  • Refreshments / catering (water, snacks, lunch)
  • Seating / shaded area for breaks
  • Weather plan (umbrella, shelter, sunscreen)

 

We can assist with minimal portable setups if needed, just let us know.

Step 4: Team & Transport

On-location setups often require more hands. You may want to include:

  • Photographer assistant / Digi
  • Stylist and makeup team with portable kit

Please ensure everyone knows the travel time and any special gear to bring. We recommend:

  • Bringing a portable clothing rack
  • Packing garments in garment bags
  • Preparing steamer with power backup

Weather protection: rain covers, umbrellas, and sunscreen (recommended for unexpected rain or prolonged sun exposure)

Step 5: Shot List & Moodboard

Moodboard and shot list help us all stay aligned and efficient.

In particular, please indicate:

  • Natural light references (time of day, softness, shadows)
  • Backdrop elements to include (e.g. nature, building texture, urban background)
  • Props required on location



During The Shoot

Here’s a general breakdown of how the day typically unfolds

Setup & Styling

We’ll arrive early for a location walkthrough, light testing, and basic equipment setup. If natural light is a key part of your reference, we may adjust shooting order based on the sun’s position.

Please allow time for:

  • Wardrobe steaming
  • Setting up changing space
  • Prop placement and styling

  • Shooting Time & Flexibility

    Outdoor shoots may run slower due to:

  • Changing light
  • Public interruptions
  • Longer transitions between looks or spots

    We recommend building in buffer time and remaining flexible. Please also prepare a weather backup plan in case of rain or other unexpected conditions. We'll check in regularly to make sure everything stays on track.

  • Live Review & Notes

    Depending on setup, we may use:

  • On-site laptop or tethered preview
  • Tablet preview for client review
  • Quick in-camera checks

    Please advise if you’d like to mark selections during the shoot or wait until previews are delivered.

  • After The Shoot

    1. Image Selection (if not selected on the day)

    You’ll receive preview selections shortly after the shoot. Please choose your preferred images within the agreed timeframe to avoid any delays.

    Once your selection is confirmed, just let us know and we’ll begin post-production.

    2. Post-Production

    Once selections are confirmed, we’ll begin retouching. For on-location shoots, please let us know if any of the following apply:

    • Background cleaning
    • Light or colour adjustments
    • Object or person removal

     

    Standard turnaround is 5 working days for up to 100 images. Larger sets or complex edits may require more time.
